Policy
1. Who this Policy is for
This Policy is for candidates whose information is handled through a Talliant-supported application, screening process, call, interview, assessment, scheduling flow or recruitment communication.
The organization offering or managing the role is the Hiring Organization. Talliant Automation Private Limited ("Talliant") provides the recruitment platform. The invitation, portal or assessment screen should identify the Hiring Organization responsible for the application.
2. Who is responsible for your information
The Hiring Organization will generally decide why your information is used for the recruitment process and the outcome of your application. Talliant generally handles information for that organization under its instructions.
Talliant may separately be responsible for limited purposes such as operating and securing the platform, preventing misuse, complying with law and handling requests for which Talliant is directly responsible. Responsibilities may differ by purpose and jurisdiction.
3. When notice should be provided
You should receive relevant privacy information at or before the applicable collection or processing. If a Hiring Organization uploads or sources your resume before you create an account, a later portal checkbox does not retrospectively establish your agreement to earlier screening or progression.
Additional short notices should appear before recording, transcription, screen sharing, selfie/liveness capture or another sensitive assessment feature begins.
4. Information that may be handled
Depending on the Hiring Organization’s workflow, information may include:
- name, contact details, location/timezone and account/login information;
- resume, application, education, employment, skills, qualifications and availability;
- job preferences and information supplied during screening;
- call, interview and assessment questions and responses;
- audio, video, transcripts, screenshots or screen-sharing/integrity events;
- photograph, selfie and liveness-related information;
- scheduling, calendar, email, telephone and WhatsApp communications;
- device, browser, session, access, diagnostic and security information;
- AI-generated summaries, scores, rankings, insights, integrity signals or recommendations; and
- recruiter decisions, notes, workflow actions and overrides.
The assessment notice must state whether a liveness feature creates or compares a facial template or other biometric identifier before that feature is used.
5. Sources
Information may come from you, the Hiring Organization, an authorized recruiter, a resume or application source used by the Hiring Organization, customer-enabled integrations, service providers, your device/session, and the calls, interviews or assessments in which you participate.
6. How information may be used
Information may be used to:
- receive and manage your application;
- compare application information with role-related criteria;
- conduct screening, calls, interviews and assessments;
- create transcripts, summaries, scores, insights or recommendations;
- schedule and communicate recruitment steps;
- support authorized recruiter review and workflow actions;
- support assessment integrity where the feature is enabled and disclosed;
- troubleshoot and secure the platform;
- respond to privacy, support or accommodation requests; and
- comply with law or establish and defend legal claims.
Information about family, friends, health, religion, race, caste, disability or other sensitive/proxy characteristics should not be requested or used for scoring unless a specific lawful and job-related requirement has been approved and explained.
7. AI-assisted processing and decisions
Talliant may support AI-assisted resume analysis, role matching, scoring or ranking, voice calls, interview questions, transcription, summaries, insights and recommendations. AI outputs can be inaccurate, incomplete or affected by the criteria and information supplied.
The Hiring Organization remains responsible for its recruitment and employment decisions. Depending on configuration, some stage progression or communications may occur automatically. Talliant does not promise that every workflow action is reviewed by a person.
You may contact the Hiring Organization to question a material application result, correct relevant facts or request an appropriate human review where applicable.
8. Recording, transcription, screen sharing and liveness
Before an assessment requests camera, microphone, recording, transcription, screen-sharing or selfie/liveness access, the screen should explain:
- the exact assessment and Hiring Organization;
- what will be captured or derived;
- the purpose and whether the feature is required;
- who can access the information and the provider categories involved;
- the consequence of declining;
- the available retry, reschedule, accommodation or alternative route; and
- the relevant retention, deletion and contact information.
An active indicator should remain visible during recording or screen sharing. Technical failure or an integrity signal should not automatically be treated as proof of candidate misconduct.
9. Legal grounds and choices
The applicable legal ground depends on the purpose, jurisdiction and the role of the Hiring Organization or Talliant. Recruitment processing is not necessarily based on consent.
Where a choice is required, it must be specific to the purpose and presented before that processing. Acceptance of Candidate Terms, acknowledgement of this Policy, recording/liveness choices, optional future-opportunity retention and optional communication choices must not be combined into one blanket checkbox.
Withdrawing an optional consent affects relevant future processing but does not rewrite processing that lawfully occurred before withdrawal.
10. Who may receive information
Information may be available to authorized Hiring Organization personnel, authorized Talliant personnel where necessary, and contracted providers supporting hosting, identity, AI, speech, audio/video, liveness, communications, calendar/scheduling, security, support or storage.
If WhatsApp or another optional third-party communication channel is used, the applicable notice should identify the channel and provide an alternative or opt-out where required.
11. International processing
Information may be processed in India and in other locations where the Hiring Organization, its authorized users, Talliant or contracted providers operate. The applicable organizations must assess transfer requirements for the particular workflow. Do not rely on this Policy as a promise that all candidate information remains in one country.
12. Retention and deletion
Retention depends on the Hiring Organization’s instructions, the category of information, the application stage, legal requirements and approved platform schedules. Different rules should apply to:
- candidate accounts and profiles;
- resumes, applications and recruiter decisions;
- audio/video, transcripts and AI outputs;
- selfie/liveness and assessment-integrity information;
- communications and scheduling records;
- security and access logs; and
- backups and provider copies.
Optional retention for future opportunities must have a separate period and choice where consent is relied upon. Contact the Hiring Organization for the period applicable to your application. Talliant must publish more specific platform periods only after they are approved and operationally verified.
13. Your rights and support options
Depending on applicable law and the organization’s role, you may be able to request access, correction, deletion, a copy, restriction or objection, withdrawal of an optional consent, or review of certain AI-assisted outcomes.
For application information or an employment decision, contact the Hiring Organization identified in your invitation. For a request for which Talliant is responsible, contact privacy@talliant.ai. Talliant or the Hiring Organization may verify identity proportionately and may explain any lawful exception.
Use the support route displayed in the invitation or assessment for technical failure, rescheduling or accommodation. A request for accessibility support or an available alternative should not be treated as candidate misconduct.
14. Security
The Hiring Organization, Talliant and relevant providers are expected to use safeguards appropriate to their responsibilities and the risk of the information. No service is completely secure. Talliant publishes specific hosting, encryption, access-control, testing or certification claims only when current evidence supports the identified service and scope.
15. Changes
The current version and effective date will be displayed here. A material change affecting an active assessment or optional choice should be communicated at the appropriate point in the candidate journey.
